CANDIDATE DATA: 

-      Name;
-      Age/date of birth;
-      Birth number;
-      Sex/gender;
-      Marital status;
-      Contact details;
-      Education details;
-      Employment history;
-      Emergency contacts and details of any dependants;
-      Referee details;
-      Immigration status (whether you need a work permit);
-      Nationality/citizenship/place of birth;
-      A copy of your driving licence and/or passport/identity card;
-      National Insurance Number
-      Diversity information including racial or ethnic origin, religious or other similar beliefs
-      Physical or mental health, including disability-related information;
-      Details of any criminal convictions if this is required for a role that you are interested in applying for;
-      Details about your current remuneration, pensions and benefits arrangements;
-      Extra information that you choose to tell us;
-      Extra information that your referees chooses to tell us about you;
-      Extra information that our Clients may tell us about you, or that we find from other third party sources such as job sites;

We require this information about you to enable us to provide relevant job opportunities to you.

CLIENT DATA: 

As a Moon Consulting customer, we are required to collect and use information about your organisation. Although the information we collect in this context is limited, it enables us to provide a bespoke service when it comes to finding candidates who are the right fit for your organisation.

SUPPLIER DATA: 

We collect and use data, such as contact details, to ensure that our services are efficient. We may be required to collect information such as your bank details to enable us to pay for the services you provide.

PEOPLE WHOSE DATA WE RECEIVE FROM CANDIDATES AND STAFF, SUCH AS REFEREES AND EMERGENCY CONTACTS: 

In this instance, we only require very basic background information. For example, we require your Emergency Contact details in the eventuality that we may need to contact someone on your behalf in case of an emergency.

WEBSITE USERS: 

To help us improve your experience using our website, we collect limited information from our Website Users. You can find out more about the data we collect in our Cookies Policy.

This includes information such as how you use our website, the frequency with which you access our website, and the times that our website is most popular.

We collect your contact details only where a Candidate or a member of our Staff puts you down as their emergency contact or where a Candidate gives them to us in order for you to serve as a referee.

HOW DO WE USE YOUR PERSONAL DATA?

CANDIDATE DATA: 

We use your personal details to help us find suitable job opportunities for you. Where appropriate and in accordance with local laws and requirements, we may also use your personal data for things like marketing, profiling and diversity monitoring. Where appropriate, we will seek your consent to undertake some of these activities. 
 
CLIENT DATA: 

We use our client information to help us identify candidates that might be suitable for your organisation.

SUPPLIER DATA:

The data we collect from our suppliers enables us to fulfil our contractual obligations to you.

This data enables us to verify our candidate details such as employment history and qualifications. Emergency contact details are only used in case of an emergency.

Referee information only is shared with prospective employers. We do not share emergency contact information with third parties.

 WEBSITE USERS: We may share your information with providers of web analytics services, marketing automation platforms and social media services to make sure any advertising you receive is targeted to you.

HOW DO WE SAFEGUARD YOUR PERSONAL DATA?

In order to protect your personal data, we have put in place appropriate measures to prevent unauthorised access to, and misuse of, your personal data. 
 
Our I.T. systems are encrypted or password protected. Any hard copies of data we hold are stored securely.

We only authorise access to personal data to the employees who require to use it.
 
HOW LONG TO WE KEEP YOUR PERSONAL DATA?

We will Delete your personal data from our systems within 2 years unless we have had contact with you, or unless we believe in good faith that the law or other regulation requires us to preserve it.

HOW CAN YOU ACCESS YOUR PERSONAL DATA, AMEND IT OR REQUEST IT IS REMOVED FROM OUR SYSTEMS?

To access the personal data that Moon Consulting holds about you, please contact Abbie Richards on abbierichards@moonconsulting.co.uk, we will seek to process your request within 30 days.

Right to object: If we are using your data because we deem it necessary for our legitimate interests to do so, and you do not agree, you have the right to object. We will respond to your request within 30 days (although we may be allowed to extend this period in certain cases).

Right to withdraw consent: Where we have obtained your consent to process your personal data for certain activities (for example, for profiling your suitability for certain roles), or consent to send you marketing communications, you may withdraw your consent at any time.
 
Data Subject Access Requests (DSAR): You have the right to ask us what information we hold about you, and you may ask us to update or Delete such information. At this point we may comply with your request or, additionally do one of the following:

 - we may ask you to verify your identity, or ask for more information about your request;

And

- where we are legally permitted to do so, we may decline your request, but we will explain why if we do so. 

Right to erasure: You have the right to request us to "erase" your personal data. We will respond to your request within 30 days (although we may be allowed to extend this period in certain cases) and will only disagree with you if certain limited conditions apply.

Right of data portability: You have the right to transfer your data from us to another data controller. We will help with this – either by directly transferring your data for you, or by providing you with a copy in a commonly used machine-readable format.  

Right to lodge a complaint: You also have the right to lodge a complaint with your local supervisory authority, details of which can be found here.
